| The Challenge The Orthodontic Centre, located in Cardiff, is a state-of-the-art practice with an exceptional dedicated team of staff. Viren Patel prides himself on being at the forefront of technology and practice efficiency, benefiting both patients and staff. Acknowledging the progressive nature of Orthodontics and patient care, Viren began to review the manual and computerised systems in place against current and future requirements of the practice. It became apparent there were a number of areas that could be improved and thus a change inevitable. Having had two previous software systems, which could not deliver his exact requirements; Viren knew that a wrong decision would have far reaching consequences for the practice, his staff and patients. | The Problem For Viren and his staff, demands being made on them and their current practice management system were beginning to tell. The system in place at the time just couldn’t cope with the ever increasing clinical progression and the high levels of efficiency that were required from them. The system they were using was not comprehensive enough to provide the functionality necessary to service the needs of the clinician’s administrative staff and patients chair time. Appointments, procedures and claims were not being tracked effectively, and there was no integration between clinical information and images, so clinical chair time was becoming less efficient. Staff were finding that they were spending an increasing amount of manual time conducting audits and generating communications to patients and referring sources. Training and back up became a real issue. Viren and his team wanted a long-term solution to their software problem. A system that would grow with their practice, have frequent upgrades to enhance its capabilities and increase efficiency without compromising the care they needed to give patients. |

| The Orthotrac Solution Given Viren’s requirements, Orthotrac set about assessing the practice’s fundamental workings and helping them understand how the software would eradicate the problems the practice was facing. Viren had looked at Orthotrac longingly from afar for many years and had now realised that it was to be their only solution. Instead of patients surrounding the reception desk, on check in Viren found that with Patient Flow his patients did just that, he knew which location each patient was in at anyone time, he knew the length of time each patient spent in the waiting room, in chair, as well as tracking how efficiently he worked to time. His desire to expand the number of chairs in his practice became a real option as his chair time could be scheduled according to patient appointment type. All patient notes including images and x-rays were to hand, and claims could be handled as part of the patient’s notes, relieving administration for the practice and taking them to a new level of efficiency. Letters between patients and referral sources were generated automatically and the robust reporting capabilities of Orthotrac meant that manual auditing became a thing of the past. Viren was impressed at how his staff and Orthotrac had the same desire to reach the end goal. Training and back up has been one of the keys to the successful integration of Orthotrac.
